At Supercal, your trust is important to use and we realize the importance of calendar privacy, security, and accuracy. While we do require you to allow our platform to view, share, and edit your calendar events, we do not take this permission lightly.

Email Privacy: When you email colleagues for a meeting and CC alex@supercal.com, no human at Supercal sees the email body. Our AI, Alex, only reads the email to understand the context of your meeting request to determine the meeting details and contact attendees for items related to scheduling your meeting (availability, reminders, meeting confirmations). We only store the Message-ID, From, To, CC, and Subject fields from your emails.

Calendar Access: The first time you use Supercal, you will be prompted to connect your calendar (Google, Outlook, or Apple), which is required for hosting meetings and optional for attending meetings. We do not ask for access to your contacts. Where supported, we only request access to your free/busy time. In these cases, we do not see the details of your calendar entries.Your trust is important to us, and we go the extra mile to ensure your information remains secure.

Through Google integrations, we may also receive limited account data as disclosed during the Google OAuth flow, including your primary email address, publicly available personal information, and confirmation of your Google identity.

When you use our email-based scheduling assistant Alex, we process the subject line and body of scheduling-related emails to extract relevant context such as participant names, availability, and preferences. This information may be passed to a large language model in order to interpret and generate scheduling actions. These models process data only to enable the requested functionality and are not permitted to retain your information for unrelated purposes.

If you enable meeting transcription, Supercal may collect audio recordings or text transcripts of your meetings. We may also generate summaries, action items, and analytics based on this information. In addition, we automatically collect technical and usage information such as device and browser type, IP address, log data, session duration, and interaction data, which we use to improve performance and reliability.

3. How We Use Your Information

Supercal uses the information we collect to operate, maintain, and improve our services. We use calendar and email data to view, create, edit, and manage events on your behalf. We use information from the Alex assistant to process scheduling-related emails, extract relevant context, and propose or confirm meetings. If you enable meeting transcription, we process your recordings and transcripts to generate summaries, action items, and productivity insights.

We also use personal information to improve the quality and functionality of Supercal by analyzing how users interact with our services, identifying trends, and developing new features. Information is used to maintain the security and integrity of our systems by detecting and preventing fraud, abuse, or unauthorized access, and to ensure compliance with legal obligations. In order to enable certain features, such as natural language scheduling and meeting summaries, we may send limited information—including scheduling-related email content, meeting context, or transcript text—to large language model providers. These providers process the data solely to support Supercal’s functionality and are not permitted to use it for any unrelated purposes.

When you organize or attend a meeting through Supercal, other participants may see the information necessary to coordinate the event, such as your name, email address, time slots, or agenda. We may also share information if required to comply with the law, to respond to legal process or government requests, or to protect the rights, property, or safety of Supercal, our users, or others. In the event of a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction.

5. Data Storage and Retention

We retain personal information only for as long as it is needed to provide our services or as required by law. Calendar and email data are stored securely in encrypted databases for the duration of your account activity. If you enable transcription, audio recordings and transcripts will also be stored until you choose to delete them. Account information is retained while your account remains active, and once you delete your account, associated data is generally removed from our systems within thirty days.

Certain categories of information, such as backup files and security logs, may be stored for limited additional periods, typically up to ninety days, in order to maintain reliability and to meet audit and security requirements. Where legal obligations or disputes require longer retention, we may keep specific data beyond these standard periods.

Supercal uses industry-standard technical and organizational measures to protect your information. All data is encrypted both in transit using TLS and at rest using AES-256 or equivalent technology. Access to personal information is restricted through role-based access controls and monitored for unauthorized activity. Although we work hard to safeguard your data, no system can be completely secure. Users are responsible for maintaining the confidentiality of their account credentials, and we encourage you to notify us immediately if you suspect any unauthorized use of your account.
